How to File Events with Carriers – What are the Requirements?
All events – whether informal or formal, sales/marketing or educational – are required to be filed with the carrier(s) an agent wishes to represent at the event. What are the timelines for filing? What information is required to file an event? How does an agent cancel an event?
We’ve answered those questions and provided needed forms for each carrier below. Click the carrier name for all pertinent information.
Aetna- Timeline: At least 14 days before the event
- Spreadsheet: Aetna Event Form
- Note: Use the drop down option on the form, where available.
- Submission: Email completed form to your Aetna Broker Manager. Always copy MCC@MCCBrokerage.com and your Sales Director on the email, for tracking purposes. If you don’t currently work with a Sales Director, copy Edward Haylock.
CarePlus
- Timeline: At least 10 days before the event
- Spreadsheet: CarePlus Event Form – Single Event – CarePlus Event Form – Multiple Events
- Note: Some fields may not accept typing on the Single Event form – just type the answer in the blank field next to it.
- Submission: Email completed form to your CarePlus Broker Manager. Always copy MCC@MCCBrokerage.com and your Sales Director on the email, for tracking purposes. If you don’t currently work with a Sales Director, copy Edward Haylock.
Cigna
- Timeline: At least 10 days before the event
- Spreadsheet: None, must be submitted through the Cigna Broker Portal
- Note: Make sure after you create the event, you submit it for approval.
- Submission: Cigna Event Job Aid
Devoted
- Timeline: At least 7 days before the event
- Spreadsheet: None, must be submitted through the Devoted Broker Portal
- Note: Make sure after you create the event, you submit it for approval.
- Submission: Devoted Event Submission Job Aid
Freedom/Optimum
- Timeline: At least 7 days before the event
- Spreadsheet: Freedom/Optimum Event Form
- Note: Instructions for Using Event Form
- Submission: Email completed form to eventalert@freedomh.com. Always copy MCC@MCCBrokerage.com and your Sales Director on the email, for tracking purposes. If you don’t currently work with a Sales Director, copy Edward Haylock.
Humana
- Timeline: At least 10 days before the event

- Submission: Save the form, then click the “Validate and Submit” button at the top of the form. Send a copy to MCC@MCCBrokerage.com and copy Edward Haylock
WellCare
- Timeline: At least 14 days before the event
- Spreadsheet: WellCare Event Form
- Note: Use the drop down option on the form, where available.
- Submission: Email completed form to your Wellcare Broker Manager. Always copy MCC@MCCBrokerage.com and your Sales Director on the email, for tracking purposes. If you don’t currently work with a Sales Director, copy Edward Haylock.
